AI awareness

AI awareness for the executive committee: two hours to talk about the same thing

Optim-AI's AI awareness session lasts two hours and brings together the executive committee, up to twenty participants. It explains how a language model works, what it does well, what it does badly and where the risks lie, using the vocabulary of your business and your real cases. It is a separate engagement from the diagnostic. You receive a written report, and a short questionnaire before and after the session measures what has changed.

Why

Why start with the executive committee

Decisions about AI are made in committee: budget, priorities, usage rules, choice of a provider. If everyone means something different by “AI”, “agent” or “hallucination”, the discussion goes round in circles. Or it ends with the view of the most self-assured person in the room.

Your teams often already use these tools. Management needs to be able to discuss them with the same precision, in order to set a framework rather than have one imposed on it.

Two hours will not make you specialists. They are enough to decide on a project and judge a sales proposal.

Content

What the session covers

  • How a language model works. The text is split into units, converted into numbers, then the model calculates the most probable continuation. It does not consult a knowledge base and does not check what it writes. This mechanism explains almost everything else.
  • What it does well. Rephrasing, summarising, translating. Extracting information from a badly formatted document. Sorting a large volume of entries. Producing a first draft that a competent person can correct quickly.
  • What it does badly. Anything that must be 100% accurate, such as payroll or accounting. Any decision that commits the company without review. Any recent fact it has not been given.
  • The risks. Hallucination: a wrong answer given with the same confidence as a right one. Agents: a model authorised to act, which is where operational risk begins. And the question of your data: where it goes, who can see it.
  • The eight words that are enough. Language model, generative AI, hallucination, prompt, RAG, fine-tuning, agent, token. A provider who insists on more is probably selling complexity.
  • How to decide when everything changes every quarter. Today's model lasts a few months. Your data, your processes and your teams' skills last for years. The session shows how to rely on what lasts.
  • Your real cases. The examples come from your business, not from an average company.

Format

The format and what you receive

The format

  • Duration: two hours.
  • Participants: the executive committee, up to twenty people.
  • Location: preferably in person. A remote session is also possible.

What you receive

  • A written report. It covers what was discussed during the session and includes the materials presented.
  • An assessment before and after. Participants answer a short questionnaire before the session, then again afterwards. The difference between the two measures what has changed.

Limits

What the session is not

  • Not a tool demonstration. We do not present software for you to buy. The aim is to understand the mechanism, which remains valid when the tools change.
  • Not a certification. You do not come away with a diploma. The EU regulation does not require one in any case.
  • Not a sales pitch. The session is there to make you able to judge a proposal, including ours. It does not commit you to any further engagement.

Regulation

The link with the EU AI Act

Up to date as of 10 October 2026. Article 4 of the EU AI Act applies to companies that use AI systems in their business. Since 27 July 2026, in its amended version, it requires them to take measures to support the AI literacy of their staff.

The text imposes no level to guarantee, no specific training and no certificate. According to the European Commission, keeping a written record of the measures taken is sufficient. Article 4 has no EU fine ceiling. Any penalty falls under national law.

A session for the executive committee is one of the possible measures, not the only one. Internal usage rules or awareness-raising for teams are others. The written report and the before-and-after assessment can serve as a record of the measures taken.

Facilitators

Who runs it

The session is run by Optim-AI facilitators who have taught these subjects, at an engineering school and at a business school.

Terms

How to get it

The AI awareness engagement is separate from the diagnostic. It can be requested on its own.

The scope and the amount are given to you in writing, as a fixed fee, after a first conversation and before any commitment.

Frequently asked questions

Questions from business leaders

How long does the session last?
Two hours. It brings together the executive committee and draws on your company's real cases.
How many people can take part?
Up to twenty. The session is preferably held in person. It can also be held remotely.
Do we need to have done the diagnostic?
No. The AI awareness engagement is separate from the diagnostic.
Do you need a technical background to follow the session?
No. The session is designed for business leaders. It uses eight words of vocabulary, no more, and plain language for the rest.
How do you know whether the session was useful?
A short questionnaire is completed before and after the session. The difference between the two measures what has changed.
Is AI training mandatory for business leaders?
No. Article 4 of the EU AI Act requires companies that use AI to take measures to support the AI literacy of their staff. It imposes no specific training, no level to reach and no certificate. An AI awareness session is one of the possible measures, not the only one. The details are on the “EU AI Act for SMEs” page.
How is this different from training on tools such as ChatGPT or Copilot?
Tool training teaches you how to use them. The session teaches you how to decide: what can be entrusted to AI, what should not be, and how to judge a project. It remains valid when the tool changes.
